Business & Event Coordinator

Are you a highly organized professional who thrives in event planning, administrative support, networking, and building meaningful business relationships? As the Business & Event Coordinator at ActionCOACH Mid-Central Texas, you will play a key role in creating impactful business experiences. You'll manage events, build relationships with local business owners, and ensure our CRM and sales processes are executed flawlessly. If you’re passionate about making connections and driving business growth, we want to meet you!

Key Responsibilities:

  • Event Planning and Execution – Plan and coordinate annual in-person and virtual events, including 19 two-hour workshops, 4 full-day quarterly workshops, and 1 annual community celebration. You'll also assist with 24 annual virtual workshops, ensure seamless logistics, engagement, and follow-ups.
  • Networking & Relationship Building – Represent ActionCOACH at chambers of commerce and other local events, creating meaningful connections and inviting business owners to our events. You'll engage directly with business leaders and schedule meetings with our CEO or Coaches.
  • CRM & Business Process Management – Maintain and update HubSpot CRM with data, ensuring all processes are followed and professional momentum is maintained. Build and nurture relationships with contacts by following a structured process of calling, emailing, and texting through HubSpot to drive engagement.
  • Tracking & Updating Key Performance Metrics – Monitor key performance indicators (KPIs) related to business activities, lead funnels, and event attendance using Microsoft Excel.
  • Communication & Public Engagement – Engage in professional conversations, speak confidently in a variety of settings, communicate via phone, text, and email, and assist in scheduling and or planning public speaking opportunities for the CEO or Coaches.
  • Team Collaboration & Independence – Work closely with a high-performing, tight-knit team while also taking ownership of tasks independently.
  • Occasional Evening Availability - The firm's 24 local events will require occasional evening work availability, typically concluding by 7 pm.

  • A natural networker who enjoys building professional relationships.
  • Highly organized and detail-oriented, with the ability to manage multiple projects at once while continuously seeking opportunities to develop new skills and enhance professional growth.
  • A strong communicator, both in writing and in person.
  • Tech-savvy, with experience using Microsoft Office (Excel, PowerPoint, Word, etc.), Project Management Software (we use Asana), Adobe Acrobat, and CRM Software (we use HubSpot).
  • A proactive problem solver who thrives in fast-paced, collaborative environments.
